1:31Tamara Whilden:Hello, hello. I am so happy to be here. Thank you so much for having me. Okay, so for success, success to me is 90 % mindset. I feel that people most often think that it has to do with the right strategy or the right offers. and while all that is very important, don't get me wrong, it's not going to get you very far if you don't have the grit and discipline and the emotional regulation needed to keep going when your desired outcome hasn't happened yet. So your mindset is what's going to help you navigate the seasons of business where you inevitably fail because failure is part of the journey, right?

2:07Tamara Whilden:It's a wonderful byproduct of the innovation and the risk-taking that is required from entrepreneurship. So when you're able to just keep moving through those seasons, instead of giving up, that's like half the battle right there.

2:21John Lee Dumas:Boom. And Fire Nation, we're going to talk about grit. We're going to talk about human first operations leading without sacrificing people. But I want to start by talking about the human first shift. Like why Tamara, why do you believe that human first operations are the future of sustainable business growth, especially as both automation and AI just accelerate?

2:44Tamara Whilden:So I have a very long history in customer service and client-facing leadership. And years ago, when I was still working in my nine to five, I had this incredible mentor and he always spoke about us being a head down society, right? So we're always looking at our phones. We are always busy with something else. We're never really where our feet are. and it was my job to get the customer to lift their head and make a connection with them. So make that eye contact, get them to talk to us. And it was through that interaction and that face-to-face connection that we started to build a relationship with our customers and to build loyalty with them.

3:21Tamara Whilden:And over a decade later, now in my business, I have found that this still holds true. So for example, on social media, we call it scroll stopping. So we want them to stop the scroll and watch our content. With podcasts, we want them to retain listeners. So we want them to listen through the end. It's all about making people feel something and connect authentically with them. So when our customers or our listeners trust us and they feel emotionally safe, they are willing to invest their time, their energy, their money into us and our business and our mission. And at the moment, we are in a full-blown trust recession.

3:56Tamara Whilden:Customers are savvier than they have ever been in the past, and they are able to spot generic AI slop from a mile away. It is currently being used so indiscriminately, and people are craving real connection, real people, quality work. They're craving authenticity. I see a lot in the online space that people are moving from just generic masterminds to in-person events and summits, and they're willing to travel to have that human interaction. So that's like one piece of the puzzle when it comes to human first. The other piece comes with human first leadership. So as entrepreneurs, a lot of us do have teams, whether they're a team of one or 20, 30, 40.

4:39Tamara Whilden:And with the rise of AI, businesses are more efficient than they've ever been in the past. And all businesses have access to these tools. It has become significantly more mainstream where it's getting to the point that the competitive advantage truly comes from the humans in our business, the innovation that they are able to bring to our team and our mission. And it's always going to boil down to that. And it's my belief that the best investment that founders can be making right now in the midst of this AI boom is in their talent. That is what's going to drive innovation. And it's going to be the edge needed, not only for sustainable growth, but also for these businesses to come out on top.

5:21John Lee Dumas:Fire Nation, there's so much value here. I mean, when you're talking here, I mean, I'm just thinking about like my personal experience. I mean, a year ago and probably even as recently as six months ago, I mean, when I would see something, I would just be like, wow, like if it was a beautiful picture or if it was like a really well-written prose or if it was a video that was really cool, I'm like, man, that took a lot of time and that's really cool. Now I'm just like, oh, like that's probably just AI that happened in 10 seconds. Like I now need to verify and then trust. Like before I just kind of trusted and then I verified if I really want to go down the rabbit hole.

5:52John Lee Dumas:Now I just kind of doubt and then verify and then trust. And so a lot of times I'm not going to even be going down the rabbit hole of trying to verify because it doesn't matter that much. When I see a beautiful picture, I'm just like, oh, it could be AI, it could be real, but I'm just going to keep moving on like that. So it's interesting how quickly we can change how we see things and how we view things, Fire Nation. And Tamara, I want to move on to efficiency versus humanity because we're in the pursuit of speed. I mean, that's just a reality. We're in the pursuit of scale. That's entrepreneurship.

6:23John Lee Dumas:But how do founders accidentally dehumanize their business? And what are the actual hidden costs of making that mistake?

6:30Tamara Whilden:This is something that I see all the time. And it's not something that happens on purpose. Like no one wakes up and they're like, you know what? I am going to make my business cold and robotic and unreliable. That just doesn't happen. But it's a natural byproduct of speed becoming the main goal. When we start to lean so hard into automation and AI and efficiency, instead of using it as something to create space for more strategic thinking or deeper connection, we use it to pile on more. And I'm talking more volume, more deliverables, more work, more output. So when you rely so heavily on that, the business starts to run on output volume instead of intention and quality.

7:14Tamara Whilden:and the human connection and the humanness behind the brand gets lost, like as you said earlier. Now we don't trust at all. We see something and it's a cool. I wonder what prompt they use to get this rather than they put a lot of time and intentionality behind it. The quality starts to slip and the hidden costs aren't truly so hidden. It really hits your bottom line right away in the way of client churn and team turnover. And beyond that, even more dangerous in my opinion, it ends up being the cost of founder burnout. You find yourself having to plug all these holes that come up six months, a year after you start leaning so heavily on these things and don't necessarily take time to save the quality of the work and the output that you're putting out there.

8:00Tamara Whilden:And you end up having to do it all yourself and ending up on that wheelhouse again.

8:06John Lee Dumas:I want to move into AI plus human execution. I mean, this is one of the areas that you spend a lot of times. So how can we effectively marry AI with human execution so that the technology that we're using and implementing is actually amplified and amplifying people instead of replacing them?

8:25Tamara Whilden:So I love leveraging AI to amplify the human genius. I'm going to use one of my clients as an example of this because we have done such a great job in amplifying rather than replacing. So in her case, she is a practitioner and an educator, and she sells very in-depth, content-heavy courses. The curriculum is amazing and her students get really, really great results, but the content is super heavy. So that is one of the biggest complaints that we always get. It's hard to get through. There's a lot of stuff to understand. So in order to solve for this, we have built out an AI agent. So it's kind of like a TA in her business and it is trained on her curriculum and her students all have access to this.

9:05Tamara Whilden:So the students can ask it any question that relates to the material and they get immediate accurate results, answers from it. And since implementing that, the satisfaction has increased so much. And that's not like the biggest win either. The biggest win here is that it did not replace my client at all. It has upgraded the experience for her students and for herself. So she has weekly live office hours that these students can come to. And before the students would come and they would ask questions about things that you can find inside of the curriculum. So we would spend the whole two hours just answering questions about curriculum.

9:42Tamara Whilden:Since we've installed the buddy, the TA, it has, all those questions are gone. It's no longer something that happens because they are getting those answers directly from the bot. And now they are coming with very nuanced, personalized questions. And they're getting very nuanced, personalized answers, which has actually shortened the time for them to get results because now they're getting so much more value from these live calls. And then for my client, she's living her best life. It has been such a game changer for her because now she's spending her time doing what she loves to do, which is problem solving and serving her clients rather than answering the same, you know, 20 questions of where to find what inside of the courses.

10:21John Lee Dumas:Fire Nation, I love this example. I really hope that it's kind of bringing up ideas in your mind of like, how can I leverage my humans, my team? Like, how can I make them better? How can I make them more effective? How can I maybe make them more excited? Because there's a lot of things that I know that my team does, they don't love doing. And guess what? If we can maybe take those things that are like, automotive that can be utilized or done even potentially better and faster with AI, so they can go on to the more creative, exciting things that they actually like to do, you're creating a better culture as well.

10:51John Lee Dumas:So we have a lot to talk about. 12:58John Lee Dumas:Tamara, I wanna talk about the real divide. We kind of teased this before the break, but the reality is this, it's not AI versus humans. I mean, a lot of people are trying to make it out that way. It's businesses with people who know how to leverage AI versus those businesses that don't. So what separates the winners from everyone else?

13:19Tamara Whilden:It really boils down to growth mindset. The people who are willing to adapt and grow as the environment demands it are the people who are still going to be here a decade from now. So at the moment, the environment is demanding that we adapt to AI. We didn't ask for AI, but we got it. It's here and it's not going anywhere. So if anything, it's going to continue to become more prevalent in the next decade. And for reference, I'm a nineties kid. So I grew up when the internet was becoming this big thing and we had to adapt. I mean, I was in typing classes, computer classes. We were learning how to Google or if Google was even a thing, I don't even remember back then.

13:59Tamara Whilden:And it was literally a huge cultural shift where it wasn't just businesses and adults, but like our children were being taught about the internet and how to use computers because it became the norm. And what's currently happening with AI, to me, it's very reminiscent of that. So in my opinion, the founders that will win are the founders that are going to embrace this change that are going to lean into it and integrate it into their plans. Those that refuse to acknowledge that AI is here to stay are going to find themselves falling behind very quickly.

14:32John Lee Dumas:I think it was AltaVista and InfoSeek in the 90s and then slowly InfoSeek. And there was a couple other ones. They were all kind of like the same and kind of bad and it was ads and ads everywhere. And I think Google, maybe, I mean, it was like maybe the late 90s, early 2000s. And it just, It was like, oh, like this breath of fresh air. And oh, it actually gives me the results that I want, not just something that's pushing me to like some advertiser or sponsor or something else. So that was really interesting and really cool to kind of see that evolvement and kind of moves me on to the next point I want to talk about, which is building human first operations.

15:09John Lee Dumas:So what does human first operations actually look like in practice? Because we love examples. And how can founders design systems that actually empower their teams instead of sidelining them?

15:21Tamara Whilden:I love this. So we touched on this a little bit earlier on, but human-first operations really starts with human-first leadership. And it's about seeing your team as whole humans and not just as roles and functions. 2020 was such a major turning point for our work culture as a society. and I believe it was Gallup that published an article last year that shared some really, to me, concerning statistics. So employees are now feeling more dissatisfied than ever. So in 2025, they were feeling more dissatisfied than ever in their roles. Many of them don't know what is expected of them at work. They are less proud of what they're selling, the service or the product that they're selling and they are less customer centric overall.

16:11Tamara Whilden:And to me, that is wild that five years post pandemic, we are still seeing this downward trend in overall employee satisfaction and experience, which then leads to a downward trend on the other side of things, you know, your revenue, your client satisfaction. And to me, this is the consequence of businesses leaning too hard on things like automation and us forgetting basic leadership skills. So when we stop investing in our people and when we treat our teams like a set of task rabbits, we lose the heart of the business and performance suffers. So with human first operations, it's about going back to the basics.

16:51Tamara Whilden:And for me, the basics is you cannot expect your team to perform or to feel supported in the business if the business is not supporting them. And it goes beyond what I believe are like basic human rights like healthcare and more into the systems of the business. So if you don't have the training, the tools, the resources that they need to do their jobs to the standards that is expected of them, they are not going to succeed. And at the end of the day, it is not the team members fault. It falls on leadership and training and development. And it sounds so simple, like train your team and they'll do what you want them to do.

17:29Tamara Whilden:But it's something that small and mid-sized businesses are skipping at this moment. And it's not because they're skipping it on purpose. A lot of it has to do with either them not knowing that this is something that needs to happen, or more likely, they don't have the bandwidth to set up all of these trainings and SOPs and follow-ups. And that's why my business exists. So with Behind the Screens, we have what we call the CEO extraction method. And what we do is that we literally extract the founder from the trenches of their operations and we rebuild the foundation with these fundamentals, the standard operating procedures, the metrics, the KPIs.

18:09Tamara Whilden:And then what we do is that we replace the CEO from the trenches because at that point, most of them are CEO, COO, CFO, like they're doing all the things. we replace them as the operator so that they can sit in their CEO seat and handle things like business growth and innovation, and we can handle the operation. So then that way, the business owner is supported in their role and they can scale the business. And then the team is supported in taking care of all of the tasks that need to happen so that we can scale simultaneously and we're not suffering from burnout six years, not even six years, six months down the line.

18:46John Lee Dumas:That was really well said. And Fire Nation, I want to talk next about the ROI of leadership. So when leaders commit, like they really buy into this, to human first principles, where does the real return on investment actually show up? We're talking across performance, across culture, across growth.

19:05Tamara Whilden:The ROI shows up so fast when you commit to these principles and you start executing from a place of humanness. And first is the obvious. You have higher quality output, you have happier team members, and then you end up with higher client retention, higher team retention, and you have immediate savings and increased revenue, right? But then there's the deeper ROI that falls with the time, the energy, and the peace of mind that the business owner has in having all of these pieces in place. Because when your team is really empowered with the systems and the playbooks and the automations, and they feel supported with that, a founder doesn't have to handhold anymore, or it doesn't need to be firefighting 24-7.

19:51Tamara Whilden:All those energy leaks are plugged, and they are free to do what they should be doing as the visionary. They are growing the business. They are innovating. They are connecting with other leaders. and this is what I tell my clients all the time. When we first start working together, within 90 days, you should have more capacity, more time and more space on your calendar and then that time needs to be used to reinvest in the business from a higher level, from the visionary seat and we do this by creating sustainable systems and removing the founder from the trenches. As visionaries, when you have room to dream and to network and to collaborate, the possibilities become endless.

20:32Tamara Whilden:But you can't do that if you're stuck in the day-to-day operations because then no one knows who you are. You're hitting a ceiling, your team is frustrated, and you'll burn out. You won't be able to scale past a certain point. So to respond to the question, the ROI isn't just monetary. It is in the freedom and the peace of mind that comes with being fully supported. It is a whole quality of life up level.

But leaning on that growth mindset of we can do this, we can grow, we can adapt. Change is scary, but it's good. Anxiety and excitement manifest the same way in the body.
